This notice explains what personal information Steve Gorrie Business Mentor Limited collects, why it is needed, how it may be used and shared, and how you can ask to see or correct it.

What information we collect

We collect only information that is reasonably needed for our work. Depending on how you contact us and the support you request, this may include:

  • Your name, email address, phone number and business contact details.
  • Information about your business or proposed business, goals, concerns and support needs.
  • Answers provided through Meta forms, the Zoho new-client questionnaire, email, phone calls, meetings or messages.
  • Documents and records you choose to provide for a quote, agreed scope or client work.
  • Quotes, scopes, invoices, payments, correspondence and key file notes.
  • Website, device and advertising information described below.

You do not need to provide personal information, but we may be unable to answer your enquiry, prepare a quote or provide the requested service without the information reasonably needed for that purpose.

Please do not provide passwords, PINs, full card numbers, unrelated medical details or information about another person that is not needed.

How we collect and use information

We normally collect information directly from you. We may use it to:

  • Respond to an enquiry and understand what help you need.
  • Assess whether our services are suitable and prepare a quote or written scope.
  • Provide agreed mentoring and business-support services.
  • Keep accurate client, accounting, tax, company and service records.
  • Manage appointments, follow-up, invoices, payments, complaints or disputes.
  • Protect our systems, website and business, and meet legal or regulatory requirements.
  • Measure and improve our website and advertising.

Information about another person

Sometimes a client or another authorised person may give us information about someone else. We only want this information when it is genuinely needed and there is a proper basis to share it.

Where required by Information Privacy Principle 3A, we will take reasonable steps to tell the person that their information has been collected, why it was collected, who may receive it, and how they can ask to see or correct it, unless a lawful exception applies.

Who may receive your information

We do not sell personal information. We may share information only when it is reasonably needed, you have authorised or instructed us to do so, or the law allows or requires it.

Recipients may include:

  • Service providers that support our website, forms, customer records, document storage, communications, accounting, advertising and AI-assisted work. These may include Cloudflare, Meta, Zoho, Microsoft, OpenAI and Xero.
  • Your accountant, lawyer, insurer, bank, funder, MSD or another professional adviser when you ask us to help prepare information or questions for them.
  • Our accountant, lawyer, insurer or another adviser where professional help is needed to operate or protect the business.
  • A government agency, regulator, court or other person where disclosure is required or permitted by law.

Some providers may process or store information outside New Zealand. We take reasonable steps to use reputable providers and appropriate privacy and security safeguards.

AI-assisted work

AI tools may help us draft, organise, summarise or review material. We use only the information reasonably needed and avoid names or other identifiers where practical.

AI-assisted output is reviewed by Steve before it is used. AI output is not treated as legal, accounting, tax, insurance, investment, mortgage or regulated financial advice.

Do not place unnecessary sensitive information in an enquiry or form. If sensitive information may be needed later, we will discuss the appropriate way to provide it.

Website, cookies and advertising

Cloudflare hosts and protects this website and may process technical information such as an IP address, browser details, requested pages and security events.

This website uses the Meta Pixel to measure page visits and the effectiveness of Facebook and Instagram advertising. Meta may receive information about your browser, device and activity on this website and may use cookies or similar technology under its own privacy terms and settings.

Our forms may be provided by Meta or Zoho. Information submitted through those forms is also handled under the relevant provider’s terms and privacy notice.

You can limit cookies through your browser settings and adjust advertising choices through your Meta account settings. Blocking some technology may affect how a page or form works.

How we protect and keep information

We use approved business systems, restricted access and practical security steps suited to the information and our small-business operation.

We keep information only for as long as it is needed for the purpose it was collected, or for a lawful company, client, tax, accounting, funding, insurance, privacy or dispute reason.

  • Key client, quote, scope, final-work and source records may generally be kept for seven years after the relevant file closes, final payment is made or a quote is declined.
  • Accounting and tax records are generally kept for at least seven years after the relevant income year.
  • Raw recordings are normally deleted within 90 days after a checked transcript or summary is completed, unless a legal hold applies.
  • Temporary drafts and duplicate files are removed after the final record is safely filed.

Records may be kept longer where a complaint, dispute, debt, audit, privacy request, insurance matter or legal requirement applies.

You can ask whether we hold personal information about you. You can also ask to access it or correct it if it is wrong.
